Based in the London office, the Catering and Conference Services Assistant will work closely with clients, lawyers and staff of the London office, suppliers, vendors and visitors to the office. Candidates must have the ability to communicate persuasively and concisely and be able to work both independently and as part of a highly collaborative team.
The role will report to the Manager, Client Services/ Hospitality.
Responsibilities include:
- Support the Manager with the day-to-day running of all catering and hospitality services.
- Deliver the full range of hospitality services, including meeting room beverages and food service, working lunches, café services and special functions.
- Maintain meeting rooms, hospitality areas, pantries, event spaces, the kitchen, café and drinks stations to a consistently high standard of cleanliness and presentation, ensuring equipment is kept clean and areas are secured at the appropriate times.
- Monitor food quality, presentation, portioning and overall service standards, ensuring the service delivered reflects the expectations of a leading law firm.
- Monitor stock levels and support ordering and replenishment.
- Support the planning and delivery of meetings, conferences, client events, high-profile events and corporate hospitality.
- Work closely with Reception, Facilities, Events, AV, Security and other internal teams to ensure seamless delivery.
- Respond promptly and professionally to client and employee requests, handling last-minute changes efficiently and escalating issues to the Supervisor or Manager where appropriate.
- Ensure all dietary, allergen and special requirements are accurately communicated and actioned.
- Comply with the Food Hygiene Regulations and the Health and Safety at Work Act across the kitchen and café areas, and report accidents, incidents and staff welfare concerns in line with company procedures.
- Report equipment faults and request day-to-day maintenance of work areas and the premises.
- Maintain confidentiality and discretion at all times when handling sensitive client and business information.
- Provide practical support wherever it is needed, including hands-on help in the kitchen during busy periods, and undertake any other ad hoc duties as assigned.
Qualifications:
- A sound understanding of hospitality standards and service delivery, including the basics of food hygiene, allergen awareness and health & safety.
- Excellent customer service, with the confidence to suggest improvements where they would enhance the service provided.
- Clear and professional communication with people at all levels.
- Strong attention to detail and organisational skills, with the initiative to prioritise and resolve issues independently.
- Calm and composed in a fast-paced environment, with a flexible approach to working hours and changing priorities.
- Professional, friendly and reliable, with a strong work ethic and a genuine team-player mentality
Experience:
- Previous experience in a law firm, financial services organisation or other professional services environment.
- Confident using Microsoft Office. Familiarity with CISCO phones / Akkadian Console and Maptician (or similar systems) is an advantage; full training on firm-specific systems will be provided.
